Gleeson Recruitment Ltd may use artificial intelligence (“AI”) and automated tools to support parts of our recruitment and business processes. These tools are designed to assist our consultants and operational teams, improve efficiency, and support administrative tasks. AI does not make hiring decisions on our behalf.
AI and automated tools may be used to support activities including:
- transcription of interviews or calls, with consent where appropriate
- summarising CVs, applications, interview notes, and meetings
- generating summaries, action points, and internal notes from calls or meetings
- assisting with drafting job descriptions, adverts, emails, and other recruitment communications
- supporting interview preparation, including identifying relevant topics or potential interview questions
- candidate searching and matching within our recruitment systems
- prioritisation, organisation, and management of candidate or client communications
- search weighting, filtering, and surfacing potentially relevant profiles within recruitment platforms
- maintaining and improving data quality, including identifying duplicate or outdated records
- analysing engagement with recruitment processes, communications, or marketing activity
- supporting internal reporting, analytics, forecasting, operational monitoring, and business insight activities
- market research, benchmarking, and other internal research activities
- identity verification and fraud prevention checks, including digital identity verification and biometric comparison processes carried out by specialist providers acting on our behalf
- supporting internal business operations, including drafting, reviewing, proofreading, and summarising operational documents, policies, commercial terms, compliance responses, and related correspondence
- automated workflow actions, such as sending standard communications, issuing internal alerts, updating records based on activity, or closing inactive records in line with our processes
We do not make decisions based solely on automated processing. Decisions relating to candidate progression, shortlisting, interviews, offers, or hiring are made by a person. We do not intentionally use AI to assess suitability based on protected characteristics such as race, religion, sex, disability, age, or sexual orientation.
Where AI-assisted transcription or recording tools are used during interviews or meetings, candidates will be informed where appropriate and may request a manual alternative. Declining AI-assisted recording will not disadvantage an application. AI-generated notes, summaries, transcripts, or related outputs may be stored within our recruitment systems, including Bullhorn, and retained in line with our Privacy Policy and retention processes.
We do not use AI chatbots to communicate directly with candidates or make real-time decisions. Some standard communications may be automated, such as vacancy alerts, welcome emails, compliance reminders, timesheet reminders, or other process updates. These automated communications follow rules set by us and are not used to make hiring decisions.
We may use AI features embedded within third-party software platforms and recruitment systems as part of our normal business operations. This may include features such as candidate matching suggestions, search weighting, communication or task prioritisation, duplicate record detection, and workflow automation.
These technologies will continue to evolve over time and the ways in which AI supports our processes may change accordingly.
All use of AI and automated tools remains subject to our data protection, confidentiality, security, and human oversight obligations. Staff are required to use AI tools in line with our internal policies, including restrictions on entering candidate, client, worker, employee, or other personal data into unapproved public AI tools. Where appropriate, we aim to limit the personal data shared with AI tools and use approved systems and providers which operate within our broader security and compliance framework.
