This is an exciting opportunity to join a highly respected legal business based in Birmingham City Centre as a Personal Assistant. You will be supporting a senior executive member of the business, the Finance Director, in a pivotal role where your organisation, professionalism, and discretion will make a real difference. The position has become available due to the current PA progressing internally, a true testament to the opportunities available within the business.
As the Finance Director's Personal Assistant, you will take ownership of their day-to-day support. From managing a busy inbox and complex diary, through to coordinating meetings and attending them for minute-taking, you'll ensure that everything runs smoothly behind the scenes. This is a role where your previous experience supporting at C-Suite level will shine, and where you'll be trusted to manage confidential information with complete discretion. Key Responsibilities:
- Full inbox management - monitoring, prioritising, delegating, and drafting responses as required.
- Complex diary management - arranging, scheduling, and prioritising meetings and appointments.
- Attending meetings (with or on behalf of the Finance Director) and producing accurate minutes and follow-up actions.
- Acting as the first point of contact on behalf of the Finance Director, ensuring communications are handled professionally and efficiently.
- Preparing documents, reports, and presentations ahead of meetings.
- Coordinating travel arrangements, accommodation, and itineraries when required.
- Supporting with project administration and following up on key deadlines.
- Building strong working relationships across the wider leadership team and acting as a trusted liaison.
Candidate Attributes and Skills:
- Previous experience as a Personal Assistant at C-Suite or Director level, ideally within a professional services environment.
- Exceptional discretion and professionalism, with the ability to handle sensitive information confidently.
- Strong organisational skills and the ability to manage competing priorities effectively.
- Excellent communication skills, both written and verbal, with a confident and professional manner.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and general IT literacy.
- A proactive and forward-thinking approach, with the ability to anticipate needs and act independently.
