Job Title: Commercial Assistant / Executive PA
Function: Commercial - FMCG
Reporting line: Commercial Director - FMCG
Location: Birmingham City Centre (Hybrid, with UK travel)
Contract: Full-time, Permanent
Salary: Up to £29,000 + Car Allowance



Overview:
We are seeking an organised and proactive Commercial Assistant / Executive PA to support a Commercial Director leading the development and growth of a FMCG range of confectionery and ready meal products.
This role is ideal for a motivated administrator or junior PA looking to build a career in executive support and commercial operations within a fast-paced, consumer-focused business.
The successful candidate will manage diary and communications, coordinate meetings with customers, assist with commercial data and reporting, and provide day-to-day support to drive business growth.



Principal Accountabilities | Key Deliverables
Executive Support
* Provide comprehensive administrative and organisational support to the Commercial Director, including diary management, meeting coordination, and travel arrangements.
* Manage correspondence, prepare meeting agendas, and take minutes as required.
Customer Engagement & Meeting Coordination
* Liaise with customers, clients, and external partners, ensuring a professional and efficient experience.
* Schedule and support customer meetings and site visits, including preparation of presentations and follow-up documentation.
Commercial Data Management
* Maintain commercial databases, price lists, and sales reports.
* Support tracking and reporting of key performance indicators, customer information, and promotional activity.
Expense & Budget Support
* Manage and process expenses, invoices, and financial administration related to travel, client entertainment, and departmental budgets.
Presentation & Document Preparation
* Prepare professional presentations and reports using PowerPoint and Excel, ensuring accuracy and clarity for internal and external meetings.
Cross-Functional Coordination
* Collaborate with marketing, sales, supply chain, and product development teams to ensure smooth communication and support ongoing projects.
Consumer-Facing Support
* Assist with consumer engagement activities, sampling events, and trade shows when required.
Confidentiality & Professionalism
* Handle sensitive business information with discretion and professionalism.



Requirements:
* Experience in an administrative, PA, or commercial support role (FMCG or retail environment preferred).
* Highly proficient in Microsoft Excel, PowerPoint, and Outlook.
* Excellent organisational, time management, and communication skills.
* Strong attention to detail with the ability to multitask in a fast-paced environment.
* Confident liaising with internal stakeholders and external partners.
* Proactive, flexible, and positive, with willingness to travel as required.



Preferred Qualities:
* Ambition to progress into a senior PA / EA or Commercial Coordinator role.
* Interest in FMCG, food retail, and consumer brands.
* Ability to work independently while contributing effectively to a collaborative team.
* Professional, approachable, and resilient under pressure.
