Contract Duration: 12 Months FTC

Overall Purpose of Job

This role reports into the Associate Director for Transitions and Lease & Property Data Team.

The role is responsible for ensuring the service charge handover accounts for all new instructions are pursued and fully implemented on to the database in accordance with RICS regulations and compliance controls. This includes reviewing the handover accounts and supporting documentation provided by the incumbent agent/client, reverting back with any queries and ensuring these are resolved in a timely manner. You will be responsible for producing s/c cash reconciliations to support any figures implemented into our Voyager system. You will need to work closely with both the Transitions and Finance teams to agree priorities and obtain sign off prior to any implementation on Voyager.

Main Duties, Responsibilities & Accountabilities

· Review sale documentation and Transitions actions to ensure timeline for handover accounts is met

· To undertake a thorough review of the handover accounts and the supporting documentation, identify queries and follow through to resolution

· Produce service charge cash reconciliations (Excel)

· To implement the s/c opening position onto Yardi Voyager (income, expenditure, cash, arrears etc.)

· Attend/or instigate meetings with client, incumbent and stakeholders

· To produce statistics and charts demonstrating progress

· To work closely with both surveyors and finance teams

· To ensure handover meetings are put in the place with the finance teams so they have a good understanding of the implementation work undertaken and any issues that may arise in BAU.

· To be able to fully document processes and procedures

· To share knowledge of Voyager and implementation processes with colleagues

· Be able to identify risks and escalate to line managers as per the agreed protocol

· To assist with the teams outgoing instructions as directed by your Line Manager

Desired Knowledge, Skills and Experience

· Knowledge of basic accounting principles for example double entry, accruals and prepayments.

· Good understanding of general ledger accounting

· Detailed knowledge of service charge accounting

· Ability to project manage each service charge implementation to conclusion

· Personality to mix and work with a busy team

· Ability to communicate and deliver a high-quality service under the pressure of high volumes and tight deadlines

· Ability to manage and prioritise tight & conflicting deadlines

· Flexibility and commitment to completing the task in hand

· Strong analytical skills and problem-solving abilities

· Attention to detail skills to review handover accounts

· A tenacious but understanding nature to encourage others to complete their tasks but can also identify when others need additional support to do this and can relay to line managers in a professional manner

· Excellent communication skills and ability to work with a variety of stakeholders

· Confidence to deal with all levels of seniority

· Accountability for all client and team work within their responsibility

· Good work ethic with an energetic approach

· Advanced excel skills
