The Role
- Manage all billing and receivables activities, including the resolution of customer disputes adhering to company procedure and customer requirements
- Management of shared in-boxes and allocation of work within the team
- Line management responsibility includes Accounting Operations Associates; redirecting resources to areas within transaction processing that have the greatest demand, to ensure we continually meet agreed service levels across the function
- Excellent communication skills with the ability to support and motivate staff, and understand their development needs
- Liaison with internal and external stakeholders; building effective working relationships to deliver first class customer service
The Aims
- Maximise the level of billing by being proactive and ensuring there is a regular review of all unbilled items
- Manage all interfaces from the Billing systems into Great Plains
- Maintain rate tables; including liaison with BSA and Commercial teams where errors are identified
- Support billing activities
- Ensure all disputes received into shared mailbox are managed in line with any agreed SLA and credit notes raised timely
- Ensure all cash received into Company bank accounts is posted and allocated correctly across all entities
- Investigation and resolution of all suspense account balances
- Support the bank reconciliation process within the agreed SLA
- Ensure all balance sheet accounts are reconciled to any supporting documentary evidence, with any variances investigated and resolved promptly ensuring there is no slippage during a time of significant change
- Ensure any standard operating procedures (SOP's) are created and maintained
- Responsible for the creation of robust and accurate reporting around all activities managed within the Billing and Receivables team
- Compliance with all relevant legislation and internal controls
- Prioritise resources to cope with operational demands
- Ensure all staff are properly trained
- Carry out monthly 121's with all members of the Billing and Receivables team
- Ensure core deliverables within the team are met
- Ability to influence key stakeholders through strong written and verbal communication
- To demonstrate and drive positive behaviours within the team
- Supporting finance transformation initiatives and any ad-hoc projects
The Person
- Previous experience in a billing role is essential
- Previous experience of managing a team is desirable
- Able to demonstrate strong operational control and process knowledge
- Resilient, hardworking, and determined to drive through change and improvement
- Strong interpersonal skills and the confidence to deal with people at different levels throughout the organisation, in particular senior management and directors
- Good time management, organisation, and delegation skills; able to plan own and team workload to ensure deadlines are met
- Management skills: ability to lead, prioritise and manage allocation of work.
- Develop, coach, and motivate the team and handle any conflict
- Change management; ability to effectively lead the Billing and Receivables team through periods of change whilst maintaining performance and motivation.
- Demonstrates a flexible approach and adaptable to a changing working environment
- Demonstrates initiative and anticipates the needs of the organisation and therefore operates in a pro-active manner
- Strong influencing skills and high levels of resilience and determination
- Advanced customer service skills with the ability to identify and resolve problems
- Experience of ERP systems
- Microsoft skills - Excel, PowerPoint and Word
Salary upto £30k plus excellent benefits. Please note that due to the nature of this role there is no hybrid or working from home pattern.
