Gleeson Recruitment Group are working with a fantastic company who has a brand new exciting opportunity for an Executive Assistant to join their rapidly growing team. Providing exceptional service to seamlessly run their modern offices in Birmingham city centre and provide first class executive support to the Managing Director and their Senior Team. They are looking for someone who can help make things tick and bring an expansive understanding of business. You will need to be someone who can hit the ground running - and think on their feet. As a growing business, no two days will be the same, so you need to be able to juggle multiple tasks so will need exceptional organisational skills. We are also looking for someone who has great stakeholder management skills and who is an awesome communicator.


Responsibilities

  • Executive support to MD and Board, including management of Outlook and organisation of activities
  • Stakeholder and external client relationship management, acting as a trusted contact for the Board
  • Corporate and proactive diary management of the Board/Senior Leadership team
  • Preparing of meeting agendas, minutes and reports for the Board
  • Supporting on various projects in terms of preparatory work and following up on actions
  • Supporting the preparation of presentations for internal and external meetings
  • Organising and booking travel and overnight stays within budget
  • Managing documentation such as filing and reporting, keeping documents and logs up to date and maintained
  • Support with internal/external events as and when required
  • General office management duties and handling any queries relating to the office; including managing visitors to the MD/Board


Experience Required

  • Proven experience as an Executive Assistant, you will already be supporting the Board/Leadership Team and understand wider business complexities
  • Solid experience of proactive diary management, proofing content and creation of board pack to highest quality
  • You will currently be managing stakeholder relationships both internally and externally, often being the main point of contact for the MD.

  • It goes without saying that you should be tech savvy! Strong working knowledge of Word, Powerpoint and Excel
  • Attention to detail and able to produce and create content to a high quality
  • You will be self-sufficient and confident in building relationships across the business and externally with company stakeholders
  • A flexible and professional approach, remaining calm under pressure
  • Super organised - you will have a lot on your plate, so it is important that you can manage your time effectively and manage others around you in a productive manner
  • Good communication skills with the ability to build good relationships with internal and external stakeholders
  • Naturally kind-hearted. Demonstrates a genuine passion for helping others
  • Enjoys variety. Adaptive and inventive when the need arises and prepared to improvise with confidence when necessary
  • Ability to stay calm under tight deadlines
